    Job Description
    Summary of Position
     
    Atomi Financial Group, an Irvine-based wealth adviser, is seeking a dynamic individual looking for a career in financial services operations management. This position is roughly divided between 1/3 client service, 1/3 financial adviser support, and 1/3 back office administration.

    Primary Responsibilities
    Adviser Support
    ·         Assist Financial Advisers in preparation of and follow-up on client meetings
    ·         Update and maintain client records in client relationship management database
    Client Service
    ·         Independently address client service related inquiries and concerns as they arise
    ·         Coordinate client mailings (i.e. mail merges, outgoing/incoming mail, birthday/holiday cards)
    Transaction Support
    ·         Process client investment transactions accurately, within established deadlines, and in accordance with Atomi’s business procedures and any applicable industry regulations
    ·         Provide consistent follow-up to ensure transactions are completed properly
    ·         Research, follow-up, and resolve transaction-related issues through effective interaction with clients, advisers, supporting investment companies, and other staff
    Operations Support
    ·         Manage client base of approximately 500 households. Includes updating electronic customer relationship management database, paper files, and regulatory compliance paperwork
    ·         Assist in the maintenance of client files for the company
    ·         Schedule and keep track of quarterly and annual companywide initiatives
    ·         Assist with managing office supply inventory and office maintenance (i.e. shred bin removal, ordering ink/toner, etc.)
    Accounting Support
    ·         Assist with QuickBooks entries and reports
    ·         Assist in preparing the monthly firm financial reports
    Required Knowledge & Skills:
    ·         Bachelor’s Degree in Business or similar discipline or commensurate administrative experience
    ·         Proficiency with Microsoft Office, and the ability to learn new software programs quickly
    ·         A strong desire to help others, particularly in the form of client service
    ·         Strong critical thinking skills and the ability to independently problem-solve
    ·         A good eye for detail
    ·         A self-starter who can work independently on multiple, time sensitive tasks and manage priorities effectively
    ·         Comfortable with adapting to a rapidly changing business environment
    ·         Excellent written communication skills
    Preferred Knowledge & Skills:
    ·         Minimum of two years’ experience working in the financial industry
    ·         A high degree of proficiency with Excel
    ·         A working understanding of QuickBooks
    ·         An interest in obtaining FINRA licenses
    Other details:
    ·         Office is located in Irvine, California, near John Wayne Airport.
    ·         Normal office hours are 8 a.m. to 5 p.m. Monday through Friday with a one-hour unpaid lunch break. Occasionally will need to stay after normal work hours to meet clients and complete paperwork with them.  Occasionally will attend evening seminars, assist in their set-up and meet client base.
